How we collect, use and protect your information

Surplus-GY is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose and safeguard your information when you use our website, our apps and our services. By using them, you agree to the practices described here.

 

1. Information We Collect

1.1 Personal information

  • Your name, delivery and billing addresses, email address and phone number
  • Any other contact details you give us

 

1.2 Payment information

Card payments are handled by our payment provider. We do not receive or store your full card number, expiry date or security code. We keep only a record of the transaction, such as the amount, the date and the last digits of the card, so that we can match payments to orders and handle refunds.

Where you pay by mobile money or another local method, that provider processes the payment and we keep the transaction reference.

If you sell on Surplus-GY, we collect the business and account details needed to verify you and pay you.

 

1.3 Account information

  • Your username and profile details
  • Your password, which is stored encrypted and is never visible to us

 

1.4 Usage data

  • How you use the platform, including pages viewed, time spent and interactions
  • Your cart, wishlist, saved addresses and order history

 

1.5 Device and location data

  • Device type, browser type and IP address
  • Location data where you allow it, used for delivery addresses and to show what is available near you

 

1.6 Transaction information

  • Details of products and services listed, bought or sold through the platform
  • Messages sent through our messaging tools

 

2. How We Use Your Information

  • To provide, maintain and improve our services
  • To process orders, payments and refunds
  • To arrange and track delivery
  • To personalise your experience and show relevant products
  • To contact you about your orders and your account
  • To send marketing messages, where you have agreed to receive them
  • To detect and prevent fraud
  • To enforce our Terms and Conditions and other policies
  • To comply with our legal obligations

We do not sell your personal information.

 

3. Sharing Your Information

We share information only where it is needed:

  • Sellers: when you place an order, the seller receives what they need to fulfil it, such as your name, delivery address and contact number.
  • Delivery partners: the details needed to complete your delivery.
  • Service providers: payment processors, cloud hosting providers, mapping and navigation providers, messaging providers used for email, SMS and push notifications, and analytics and error reporting providers.
  • Legal authorities: where required by law, or to protect our rights, property or safety.
  • Business transfers: in the event of a merger, acquisition or sale of assets.

Our service providers may use your information only on our instructions and for the purposes set out here.

 

4. Where Your Information Is Stored

Our systems are hosted on cloud infrastructure located in the United States. Your information is therefore transferred outside Guyana and stored and processed there, and may be accessed by our service providers in other countries where they operate.

Wherever it is processed, we apply the protections described in this policy.

 

5. Data Security

We protect your information using encryption in transit, access controls so that staff see only what their role requires, secure payment gateways operated by our payment providers, and monitoring of our systems.

No system is completely secure and we cannot guarantee absolute security. We will never ask you for your password, your full card number or a one-time code, and you should not share these with anyone claiming to represent us.

 

6. How Long We Keep Your Information

We keep your information for as long as your account is open and you are using our services.

After that, we keep it only where we need to: to meet tax, accounting and regulatory obligations, to resolve a dispute or a claim, or to prevent fraud. Records kept for those reasons are held for no longer than required.

 

7. Your Rights

You have the right to:

  • Access: request a copy of the personal data we hold about you
  • Correction: ask us to correct data that is wrong or incomplete
  • Deletion: ask us to delete your data, subject to the records we are legally required to keep
  • Objection: opt out of marketing communications at any time, without affecting messages about your orders

You can update most of your details yourself from your account. You can delete your account from your account settings on the website or in the app. Our Data Deletion Policy explains what is removed and what we must keep.

8. Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember your cart and preferences, and understand how the platform is used. You can manage cookies through your browser settings, though some parts of the platform may not work properly without them.

 

9. Children

Our services are not intended for children under 18, and we do not knowingly collect their personal data. If you believe a child has provided us with personal data, contact us and we will remove it.

 

10. Third-Party Links

Our platform may link to third-party websites. We are not responsible for their privacy practices. Please review their policies before sharing your data with them.

 

11. Changes to This Policy

We may update this policy from time to time. Changes are posted on this page with an updated effective date. Where a change materially affects how we handle your information, we will make that clear.

Delivery and On Demand Services

When you book a delivery or a parcel collection, whether through the marketplace or through Surplus GY On Demand, we collect and process further information so the job can be carried out.

What we collect for a delivery

  • The pick-up address and the drop-off address, including the map coordinates you select or confirm.
  • The name, telephone number and email address of the person receiving the item, which you provide.
  • A description of the item, the vehicle type requested, and any scheduled date and time.
  • Your booking history, so you can repeat a booking and so we can resolve a dispute.
  • Records of your interaction with the assigned driver, including the delivery status and any exception recorded against the job.

Location while a job is running

A driver's device shares its location with us while they are on an active delivery, so that you can follow the job and so we can confirm collection and delivery took place. That location is collected from the driver, not from you. Customers are not tracked.

We use these locations to match a job to a nearby driver, to plan a sensible route, to show you where your delivery is, and to confirm that a collection or delivery happened at the address given.

Who we share it with

The details needed to complete a job are shared with the driver or delivery company assigned to it, and with the hub agent handling the parcel where one is involved. That means the recipient's name, telephone number and address are visible to the person carrying out the delivery, because they cannot complete it otherwise. It is not shared more widely than that.

Information about someone else

When you book a delivery to another person, you are giving us their details. Please only provide them where you are entitled to, and please tell the recipient that their name, telephone number and address will be shared with the driver carrying out the delivery.

How long we keep it

Delivery records are retained with the associated order for as long as we are required to keep the transaction, which includes accounting and tax obligations. If you delete your account, the personal details on your delivery records, including the recipient's, are removed and only the transaction itself remains.

Service Messages, Media and Ratings

When a driver is assigned to a ride, food delivery or parcel delivery, the customer and driver may exchange messages that are limited to that service. A conversation may contain text, emojis, photographs and voice notes. The conversation is kept separate from any later service, even where the same customer and driver are matched again.

We process these messages to complete the service, send message notifications, support the customer and driver, investigate a report, prevent abuse and resolve a dispute. Authorised Surplus GY administrators can review the full conversation, including attachments, through a read-only moderation screen. Messages may be checked for contact details and may be reported or blocked by either participant.

Please do not send payment card details, passwords, identity documents or information that is not needed to complete the service. Images and voice notes are stored with the related service record and are retained for the period needed for support, safety, fraud prevention and legal or accounting obligations.

After a completed order or service, a customer may rate the driver, restaurant, dish or store and may add written feedback. Approved ratings and reviews can be shown publicly as an average, a count or an individual review. They may also be used to sort recommendations, identify service problems and determine whether a driver, restaurant or store needs support. We link a rating to the completed transaction to prevent unrelated reviews.
